The factors that move the price

Vehicle size

A 55-passenger coach costs more to run than a 20-passenger minibus, but it also costs less per person once a group is large enough to need one. The break-even point is usually somewhere around 35 to 40 passengers — below that, a minibus or sprinter van often works out cheaper overall, even though the per-vehicle rate looks smaller.

Trip length and timing

A point-to-point airport transfer prices differently than an hourly booking, and an hourly booking prices differently than a full-day charter with multiple stops. Theme park days that involve waiting at a venue for several hours before the return trip typically get quoted as a longer booking than the actual drive time, since the vehicle and driver are held for the group rather than released to another job.

Season and day of week

Orlando's peak seasons — spring break, the weeks around major holidays, and convention-heavy weeks at OCCC — push demand up across every operator in the market, and pricing follows. A Tuesday afternoon booking in September is a different market than a Saturday in the middle of spring break.

What a quote should actually include

A complete quote should spell out the vehicle type, the hours or mileage covered, and whether gratuity and fuel surcharges are built in or added separately at the end.
