What to Ask About Sustainability Before Booking Corporate Transportation

Why this question is showing up in more RFPs

Five years ago, almost nobody booking a corporate shuttle asked about emissions. Now it's a regular line item in RFPs from companies with sustainability commitments, and meeting planners are starting to ask questions they don't always know how to evaluate. Here's what's worth asking, and what the answers actually mean.

The math that matters most: seats filled, not fuel type

The single biggest lever in group transportation's environmental footprint isn't the vehicle — it's whether it's full. A 55-passenger coach carrying 50 people for a conference shuttle route replaces roughly 40 individual car trips, and that math beats almost any efficiency gain from a newer engine. Before asking a vendor about their fleet's fuel type, ask how they consolidate routes and stagger pickup times to keep vehicles full instead of running half-empty shuttles on a fixed schedule.

Questions worth asking a vendor directly

How old is the average vehicle in the fleet, since newer diesel engines burn meaningfully cleaner than engines from even ten years ago. Do they consolidate multiple client trips onto shared routes where schedules allow, or run every booking as a dedicated one-off. And can they provide an estimated passenger-mile or trip count for your event, which is the number your sustainability team will actually want for a report.

Be skeptical of "carbon-neutral" on its own

A lot of carbon-neutral claims in this industry are backed entirely by purchased offsets rather than any change in how the vehicles actually operate. Offsets aren't meaningless, but they're a very different claim than "we run a newer fleet" or "we consolidate routes to cut empty miles." Ask a vendor to be specific about which one they mean — the answer tells you whether you're talking to someone who's made real operational changes or someone who bought a certificate.
